A guest list that counts itself
Each invitation is a row — a couple with two kids is one row with 2 and 2 — and the sheet
does the arithmetic: how many people were invited, how many responded, how many are coming
(adults plus kids for a Yes), how many kids, how many maybes, meals per choice, and how many
gifts still need a thank-you. The Status column says what’s missing for each Yes: a meal,
then a table.
The RSVP column itself is the smallest drop-down there is — two items and a colour — and the
counts above it are plain COUNTIFs over that column. If you want to build the same thing from
scratch, or change what the answers are called, the
Yes/No drop-down guide walks through the validation and the formulas that read it.
Pro: seats, money, dates
Tables reads seats per table from Setup and the assignments from the guest list, and shows
free seats per table and who’s coming with no table yet. Budget holds each item’s budget,
quote and payments, flags quotes that came in over, and gives the cost per head both for
those coming and for everyone invited. Timeline is the list of things to do before the day,
with Late and Soon flags against today.
Checked, not just built
The build recalculates both workbooks in LibreOffice and in a second, independent engine and
compares fifty values — every count in the summary, meals, statuses on the sample rows,
table assignments and free seats, budget totals and per-head cost, timeline statuses — against
numbers computed outside Excel.
